HomeMy WebLinkAbout100824-03.41 3.4 October 8, 2024 TO: Mayor and Town Council FROM: Joseph Calabrigo, Town Manager SUBJECT: AV System Upgrade in Town Offices Community Room The Community Room at the Town Offices is utilized for various purposes, including Town Council, Commission and Board meetings. The Town recently completed CIP Project No. B-641, the Town Meeting Hall Technology Upgrade. The project included upgrading the AV system with new microphones that improved the audible quality of the meetings. The Town Council has periodically expressed an interest in upgrading the AV system in the Community Room at the Town Offices for similar reasons. Staff has reached out to Avidex, the vendor that supplied the system at the Town Meeting Hall to solicit a proposal for upgrading the AV system in the Community Room. Avidex has provided a proposal that includes two microphone options to consider. Both options include wireless desktop units with flexible “gooseneck” microphones. Option 1 includes: • Ten (10) wireless desktop mic transmitters with 15" gooseneck microphones and colored LED ring. • One 8 channel and one 4 channel transceiver will be mounted within the room. • Three (3) networked charging stations will be provided to charge and store the microphones and will be located in the AV closet on shelves. • New 40 port switch will be linked to the existing switch to expand port count • New QSC DSP expander to provide additional AEC channels 2 • Control system will be programmed to add the control of the new microphones. Total Cost: $33,000 Option 2 includes: • Ten (10) MXCW640 wireless desktop conference units with 20" gooseneck microphones combining a microphone, loudspeaker, and user controls in an integrated wireless unit. • One access point transceiver • One (1) networked charging station will be provided to charge and store the microphones and will be located in the AV closet on shelves. • New 40 port switch will be linked to the existing switch to expand port count • New QSC DSP expander to provide additional AEC channels • Control system will be programmed to add the control of the new microphones. Total Cost: $40,000 Cost estimates include equipment, materials, technical services required for installation, shipping and sales tax. Estimated lead time would be 8 – 16 weeks based upon current availability. The Council may provide direction to staff regarding whether and how to move forward with either option. Should the Town Council wish to proceed, a formal action and funding appropriation from the Contingency Fund would be required.
