HomeMy WebLinkAbout071922-03.1 FINANCE COMMITTEE MEMORANDUM 3.1 TO: Mayor and Town Council July 19, 2022 SUBJECT: Authorize Execution of Contract Services with First Student Inc. for Transportation Services BACKGROUND The Town offers eight weeks of town camps each summer. Within these camps, we offer 36 adventure field trips to different destinations throughout the Bay Area. Each field trip requires a bus that transports the participants to and from these destinations. In February 2022, a Request for Pricing to provide the Town with transportation services was developed and made available through direct emailing and the Town’s website. The scope of work includes providing safe, clean, and reliable transportation for a minimum of 36 excursions and seating for up to 60 passengers for the Town’s summer camps. On March 3, 2022, the Town received a total of four proposals. Four companies provided bids with pricing. Delta Charter, SIV Transport, LLC, American Stage Tours, and First Student Inc. First Student Inc. was the most qualified to provide the requested services and was awarded the contract for one-year effective July 1, 2022, through June 30, 2023. The Town's purchasing policy states the Finance Committee shall be the awarding authority for all contacts over $25,000. DISCUSSION First Student Inc. has been providing transportation services to the Town for over 10 years. The annual cost for transportation is approximately $33,000. The Town has been extremely satisfied with the quality and professionalism of First Student Inc. Sufficient funds have been appropriated in the Town’s 2022-2023 Operating Budget to cover the cost of transportation services for summer camps. It is recommended that the Finance Committee authorize the approval of the contract for transportation services not to exceed $33,000 for the fiscal year 2022/23.
