HomeMy WebLinkAbout111621-05.6 ADMINISTRATIVE STAFF REPORT 5.6 TO: Mayor and Town Council November 16, 2021 SUBJECT: Resolution No. 77-2021, appropriating funds and authorizing the Town Manager to execute a contract to replace the Town’s current Storage Area Network System (SANS) in line with technology improvements associated with CIP Project B-626 - Town Office Relocation BACKGROUND The Danville Town Council adopted an Information Technology Master Plan (ITMP) in 2010 focused on implementing "Government 2.0" principles, aimed at increasing transparency and enhanced use of technology to bring government information and services to Danville residents around the clock. One of the major ITMP initiatives is the replacement and upgrade of several of the Town's older technological systems. These upgrades are necessary to modernize and stay current with technology trends which help create economies and efficiencies for the Town and its staff. The Town is currently in the process of moving forward with CIP Project B-626, which will involve relocating the Town Offices and Police Department to a new location at 500 La Gonda Way. The relocation will include the installation of the “next generation” of technologies which will meet the Town’s needs for the foreseeable future. DISCUSSION Plans are currently underway to relocate the Town Offices and Police Department to the new facilities at 500 La Gonda Way in early 2022. On September 21, 2021, the Town Council adopted Resolution 58-2021, authorizing a series of network, systems and cybersecurity upgrades needed to serve these new facilities. Subsequently, the Town has learned that it will be necessary to replace the Town’s existing Storage Area Network System (SANS). The current SANS is a Dell/EMC VNXe 3200 model purchased in 2015. The Town has now been informed by Dell that the current system will no longer be supported past 2022. Resolution No. 77-2021 will authorize replacing the current SANS with an upgraded system to facilitate the new technologies being deployed and prevent system obsolescence. SANS Replacement - 500 La Gonda Way 2 November 16, 2021 The cost of the new SANS unit is $107,128, including equipment and implementation services provided by the Town’s existing technology vendor. The contract includes three years of licensing, support, software upgrades and maintenance. Replacement of the existing SANS will be funded through the appropriation of $107,1280 from the ITMP Fund. Adoption of this resolution will authorize the Town Manager to execute a contract required to coincide with the increased maximum appropriation amounts. PUBLIC CONTACT Posting of the meeting agenda serves as notice to the general public. FISCAL IMPACT Appropriation of $107,128 is required from currently available ITMP funds. RECOMMENDATION Adopt Resolution No. 77-2021, appropriating funds and authorizing the Town Manager to execute a contract to replace the Town’s current Storage Area Network System (SANS) in line with technology improvements associated with CIP Project B-626 - Town Office Relocation. Prepared by: Clancy Priest Chief Technology Officer Reviewed by: Jill Bergman Business & Economic Development Director Attachment: Resolution No. 77-2021 RESOLUTION NO. 77-2021 APPROPRIATING FUNDS AND AUTHORIZING THE TOWN MANAGER TO EXECUTE A CONTRACT TO REPLACE THE TOWN’S CURRENT STORAGE AREA NETWORK SYSTEM (SANS) IN LINE WITH TECHNOLOGY IMPROVEMENTS ASSOCIATED WITH CIP PROJECT B-626 - TOWN OFFICE RELOCATION WHEREAS, in July 2010 the Danville Town Council adopted an Information Technology Master Plan (ITMP) focused on implementing Government 2.0 principles aimed at increasing transparency and enhanced use of technology to deliver government information and services around the clock; and WHEREAS, the Town is currently moving forward with CIP Project B-626 – Town Office Relocation, and plans are currently underway to relocate the Town Offices and Police Department to the new facilities at 500 La Gonda Way in early 2022; and WHEREAS, CIP Project B-626 includes implementing next generation technologies to facilitate superior delivery of municipal services to the community; and WHEREAS, a replacement of the Town’s existing Storage Area Network System (SANS) is necessary to complete the technology upgrades and prevent system obsolescence; now, therefore, be it RESOLVED, that the Danville Town Council hereby: • appropriates $107,128 from the ITMP Fund; and • authorizes the Town Manager to execute contracts with the Town’s network vendor for $107,128 to upgrade the Town’s Storage Area Network System.
