HomeMy WebLinkAbout033-07 RESOLUTION NO. 33-2007 APPROVING A TOWN COUNCIL POLICY STATEMENT REGARDING TOWN CO-SPONSORED EVENTS AND ACTIVITIES WHEREAS, the Town receives requests from community groups and organizations to co-sponsor various events and activities; and WHEREAS, the Town Council wishes to formalize the process for how these requests shall be submitted, evaluated and approved to assure consistent and fair consideration; and WHEREAS, the Town Council has drafted a policy statement, hereto attached as Exhibit 1, that describes how proposed events and activities shall be reviewed; now, therefore, be it RESOLVED, that the Danville Town Council approves the attached policy statement, and will follow the processes outlined therein. APPROVED by the Danville Town Council at a regular meeting on April 3, 2007, by the following vote: AYES: Shimansky, Andersen, Doyle, Stepper NOES: None ABSTAINED: None ABSENT: Arnerich *l~ 1<, ~~ MAYOR ___ 1lZ?3T~~: CITY ATTORNEY ATTEST: Subject: Purpose: Policy: TOWN COUNCIL POLICY STATEMENT - DRAFT - Approval of co-sponsored events and activities by the Town Council. The Town Council desires to establish a Co-sponsorship Program to assist community groups with events and activities that support the Town's purpose and goals and serve Danville residents. The purpose of this statement is to formalize the Town Council's policy for how interested organizations will seek approval their events to be cosponsored by the Town. This statement addresses the application, reVIew, approval and monitoring/ evaluation processes to be used in the Co-sponsorship Program. Application Process Interested parties will complete an application form and submit it to the Town by a specified date each year. Designated Town staff will review applications and determine if the applicant meets established criteria for consideration, and evaluate the extent to which the proposed event or activity is consistent with the Town's goals and provides a complementary or enhanced level of service to Danville residents. Recommendations will then be developed regarding co-sponsorship status and level. Review / Approval of Co-sponsored Events and Activities The Town Council will review and consider staff's recommendations at a time and place to be arranged. These deliberations will be duly noticed pursuant to the Ralph M. Brown Act. Approvalj denial of full and limited co-sponsorship status for requested events and activities shall be placed onto a regular Town Council agenda for action. Renewal of Co-sponsored Events and Activities Continuing co-sponsored events and activities will be considered on an annual basis, with the performance of groups affiliated with previous co- sponsored events used as an additional evaluation criteria.
